10 things you need to check off before your event.


Running a successful conference isn't about luck, it's about planning. Whether you're hosting 50 delegates or 1,000, ensuring a smooth event comes down to having the right things in place before doors open. Here's some of the things you need to tick off your list for your event.


1. Have you got a great audio system?

Bad sound will ruin your conference faster than anything else. It will lead to frustrated attendees, disengaged participants, and ultimately a failure to achieve your event objectives. Clear audio is the backbone of effective communication. To ensure your conference is a success, you need high-quality microphones for speakers, consistent audio coverage across the entire room, and reliable backup options in place.


While working on CBRE's annual Quiz Night, we deployed KV2 Audio speakers strategically throughout the venue. These speakers ensured every attendee, regardless of their location in the room, could hear every word clearly. We strategically placed speakers to eliminate dead zones where sound may have been inaudible. This made a significant difference in the overall atmosphere of the event and allowed participants to fully engage with the quiz and enjoy the evening.


A well-planned audio setup transforms the experience for attendees but it's also essential to have backup options in place. Technical difficulties might occur, and it's always better to be with alternative equipment or systems. This includes spare microphones, additional speakers, or a secondary sound system that can be activated if the primary system fails.


2. Do you have well positioned visuals?

Your audience needs to see what's happening on stage to fully engage with the event. LED walls are a powerful tool commanding attention, drawing viewers into the heart of the action. Meanwhile secondary screens allow those seated at the back or on the sides of the venue to follow along seamlessly, ensuring that they do not miss out on important moments


For the Essex Police Bravery Awards event, we implemented an audiovisual system that focused on maximising guest engagement. We installed a central 85" LED screen, which served as the focal point for the event. This displayed live footage and presentations. We also set up two additional 65" supporting screens on either side.


This integration of advanced display technology, such as LED walls and supplementary screens, was essential for creating an inclusive and engaging atmosphere at the event. By ensuring that every individual has a clear view of the stage, we enhanced the overall experience, making it memorable and meaningful for all involved.


3. Does your lighting create impact?

Lighting does much more than simply illuminate a space; it plays a crucial role in establishing the mood, enhancing the atmosphere, and guiding the audience's attention to specific focal points. Effective lighting design transforms an ordinary venue into an extraordinary experience, creating a more memorable event.


A well-designed lighting rig makes your speakers look professional and the space feel intentional. We demonstrated the power of effective lighting design at the STATOM Charity Ball, an event that required both elegance and functionality. We used strategically positioned fixtures to create impact without distraction, keeping focus on the evening's fundraising message.


We employed soft washes of colour to enhance the decor while spotlighting the speakers during their presentations. As the event progressed through the night to the more formal presentations and celebratory moments, the lighting transitioned seamlessly to match the event atmosphere. The event illustrated how thoughtful lighting choices create a memorable experience that resonates with everyone.


4. Do you need a fast, reliable network?

If you're using voting screens, interactive displays, or live streaming, your WiFi infrastructure needs to be bulletproof. We organised this when building the CBRE event and deployed a dedicated network to handle iPad-based quiz participation at every table. We also had our own technician on hand to manage bandwidth and troubleshoot in real time.


We ensured that the network was equipped with sufficient bandwidth to accommodate the influx of devices, as each iPad needed a stable connection to send and receive data in real time.


This proactive approach to network management is what we refer to when we say our infrastructure is "bulletproof." It means that we anticipate challenges and prepare for them guaranteeing a smooth and engaging experience for attendees and organisers alike.


The success of an event that relies on technology hinges on the strength and reliability of the underlying WiFi infrastructure. Investing in dedicated resources, real-time management, and robust engineering practices is essential to creating a fully interactive event.


5. Do you need staging and a lecturn?

Even if your conference is a small one, incorporating a raised stage with a lectern is a great idea. The raised stage provides physical elevation to draw the audience's attention and establishes a clear focal point. This setup allows your speakers to engage with the audience more effectively. It doesn’t need to be a huge stage, just one where your delegates can see the speaker.


You can also include comfort monitors on the stage. These monitors enable speakers to view their presentation slides without the need to turn their backs to the audience. By having the slides visible directly in front of them, speakers maintain eye contact with their audience, ensuring a more interactive and dynamic presentation. It also allows the speaker to focus on delivering their message rather than worrying about navigating the slides.



6. How will you switch between presentation elements?

Pre-recorded content, live video feeds, and speaker slides are essential components of presentations, webinars, and live events. To enable seamless and professional delivery of these elements, your event production company can use switcher to manage all of them with ease and efficiency. It serves as the central hub for all video sources, allowing the presenter to transition between different types of content without disruption or delay.

7. Have you prepped for rehearsal time?

All events, regardless of size, require some rehearsal time. This is can sometimes be overlooked, but it is critical. It ensures your speakers are not only prepared but also comfortable with their material and how the event flows and timings.


Don't underestimate the benefits of scheduling rehearsal time. It allows your speakers to practice their delivery in front of the actual setup they will be using. It also provides an opportunity for the production team to test all technical equipment, such as microphones, projectors, and lighting, ensuring that everything is functioning correctly before show time.



8. What's your back up plan?

Your main projector fails. Your primary audio desk goes down. What's your next move? Your event production company should have backup equipment on hand and crew trained to swap it in quickly. Tech failures can lead to significant disruptions, affecting the overall experience for both the audience and the presenters. You don't to be caught without a back up plan on the day.


To mitigate the risk, your event provider will make sure backup equipment is readily available. This will include main kit and any other peripherals that might be required. The backup equipment should be of similar quality and compatibility to ensure a seamless transition. They should also be able to prove that they conduct regular checks and maintenance on all their gear to ensure that it's in working order.


9. Experienced technical crew

Your stand builders, riggers, sound operators, lighting techs, and AV managers are all specialists in their respective fields. They will have years of experience and a deep understanding of the equipment and what is required for the event.


What's most important is that this team will have worked together for many years over a wide range of events. They will know and understand each others' roles and what needs to be done. Hiring a professional team knocks out many issues before you even start the event so make sure you look into their track record of delivering high-quality events.



10. Clear communication

An event production company that stops talking to you when working on your project is a major red flag. Good communication underpins the success of every single project. You want to make sure that your event partner is regularly communicating at every stage of the process so you have a clear view of what is happening, when and who is it doing it.


Always make sure that you will get detailed plans for the pricing, installation, and logistics of your event and that you are happy before proceeding.
