Getting awards night production right

Planning an awards ceremony?

Here's what you need to consider

An awards ceremony should be a night to remember. Whether you're recognising outstanding employees, celebrating industry achievements, bringing together customers and colleagues, or raising money for charity, there's a lot that goes into making the evening run smoothly.

While the venue, food and entertainment all play their part, the technical production brings everything together. From the moment guests arrive to the final award being presented, lighting, sound, staging and AV all help create the atmosphere and keep the evening moving.

So, what do you need to think about when planning the technical production for an awards ceremony?

Getting the staging right

The stage is the focal point of any awards ceremony. It's where the presenters, nominees and winners take centre stage, so it needs to look right and work properly.

The size and layout will depend on the venue, audience numbers and format of the evening. You might need a simple presentation stage with steps and a lectern, or a much larger setup incorporating multiple levels, branded backdrops and LED screens.

It's also worth thinking about how people will get on and off the stage. Award winners need to be able to access it easily, and presenters should have enough room to move around without getting in each other's way.

Lighting that sets the mood

Lighting does much more than make sure people can see the stage. It's one of the most effective ways to transform a venue and create the right atmosphere.

For an awards ceremony, you'll usually need a combination of different lighting elements:

Stage lighting: Making sure presenters and award winners are properly illuminated.

Room lighting: Creating the right atmosphere for dinner, networking and entertainment.

Architectural lighting: Highlighting features of the venue and bringing colour into the room.

Special effects: Adding impact to award announcements, winner reveals and key moments throughout the evening.

Getting the balance right is important. You want the room to look impressive, but you also need to make sure guests can see the presentations and cameras can capture everything clearly.

Sound that keeps everything running smoothly

Sound is one of those things that people rarely notice when it's working properly, but everyone notices when it isn't.

Clear audio is essential throughout an awards ceremony. Presenters need to be heard, music needs to be played at the right moments and any video content needs to sound as good as it looks.

Depending on the format, you might need handheld microphones, lapel microphones or headset microphones, along with a professional PA system suited to the size and acoustics of the venue.

It's also important to consider the running order. Walk-up music, announcement cues, background music and video playback all need to be coordinated so there are no awkward silences or missed cues.

LED screens and video content

Screens can play a big part in making an awards ceremony feel like a proper occasion.

They can be used to display nominee names, award categories, sponsor logos, event branding, presentation graphics and video content. They're also useful for ensuring guests seated further away from the stage can see what's happening.

LED screens are particularly effective where you want a large, bright display that can be seen clearly throughout the room.

It's worth considering screen positioning early in the planning process, rather than treating it as an afterthought. The layout needs to work for the audience, presenters and photographers, without obstructing views of the stage.

The importance of a technical running order

An awards ceremony often involves a lot of individual elements that need to happen at exactly the right time.

Presenters, nominees, music, videos, lighting changes and award handovers all need to be coordinated. A detailed technical running order helps everyone understand what's happening, when it's happening and who's responsible.

This should include details such as:

  • Presenter microphone requirements.

  • Video and presentation playback.

  • Walk-up music and announcement cues.

  • Lighting changes between different sections.

  • Award winner announcements.

  • Stage access and handover arrangements.

The more that can be planned and tested in advance, the less room there is for unexpected surprises on the night.

Rehearsals and technical checks

Even the best equipment and planning won't count for much if nobody has checked that everything works together.

A technical rehearsal gives the production team an opportunity to test microphones, playback, lighting cues, screens and any other equipment before guests arrive.

Where possible, it's also worth running through key moments with presenters and anyone involved in the awards themselves. This helps everyone understand where they need to be and what happens when their cue comes around.

It's much easier to iron out problems during a rehearsal than in front of a room full of guests.

Having the right technical crew on site

An awards ceremony involves more than just setting up some equipment and pressing a few buttons.

You'll need experienced technicians to install and operate the equipment, manage the sound and lighting, run presentations and playback, and respond to anything unexpected during the event.

Having a team that understands how the different technical elements work together makes a real difference. It also means there's someone on hand to deal with any issues without disrupting the evening.

Getting awards night production right means a night to remember

A successful awards ceremony is the result of lots of individual elements coming together. The staging needs to work, the lighting needs to create the right atmosphere, the sound needs to be clear and every presentation needs to run smoothly.

Getting the awards night production right gives the organisers, presenters and guests the confidence to enjoy the evening without worrying about what's happening behind the scenes.

At mrl productions, we provide technical event production for awards ceremonies, corporate dinners and live events. From staging, sound and lighting to LED screens, rigging and experienced technical crew, we supply the equipment and expertise needed to bring everything together.
